Job objective

moCa Cleveland’s Development Associate (DA) is primarily responsible for processing gifts & memberships, generating acknowledgements, and database maintenance, along with other support functions including fundraising events. This individual is motivated, organized, and can demonstrate a high level of accuracy.

Duties & responsibilities

  • Generate and track fundraising appeal letters, membership renewals, and acquisition packages

  • Prepare monthly member and donor renewals and follow-ups via phone, mail, and email.

  • Process memberships and all other pledges and contributions, enter constituent and gift data into the database with proper and accurate coding in a timely manner, and follow-up with appropriate acknowledgement communications

  • Prepare individual pledge agreement forms, invoices, and letters related to payment of pledges and sponsorships

  • Work with moCa’s Finance Department to reconcile deposits and ensure quality assurance via weekly donor and membership audits

  • Provide customer support for membership and donor gift inquiries. 

  • Support the management of incoming bequest, annuity, and other legacy gifts 

  • Generate mailing and eblast lists for internal and external communications 

  • Regularly review, update, and clean constituent and relationship information in moCa’s fundraising database, Donor Perfect and in hard files as necessary

  • Provide special event support related to the Development Department, including coordinating guest lists, mailings, online donation links, social media calendars, and other event details

  • Conduct research to identify prospective donors and funding opportunities. 

  • Maintain good relationships with individual donors through phone follow-ups and in-person conversations. 

  • Other projects and duties as assigned.

Education:

Four-year degree from an accredited institution required

Working conditions:

Flexible schedule with regular weekend hours and some evenings required.

 

Knowledge/Skills/Abilities:

  • Two years clerical or administrative experience in a professional environment required, development, sales, or fundraising environment preferred

  • Advanced knowledge of Microsoft Word, Excel, and Google Suite required

  • Some experience using CRM systems; Donor Perfect or Blackbaud CRM preferred

  • Detail-oriented and exceptional organizational and communication skills

  • Demonstrated ability to meet deadlines, adapt to shifting priorities, and work on a team

  • Demonstrable understanding of non-profit development and the importance of handling confidential information

Physical Demands:

  • Employee will be required to use a computer and other devices such as phones or tablets to monitor digital platforms

  • Employee frequently will be required to actively listen and exchange information in-person, by phone, and computer

  • Employee may be required to be stationary for extended periods of time

  • Employee will be required to move through the office and museum

  • Employee may be required to work occasional evenings and weekends

Work Environment:

  • Must have reliable, appropriate transportation and a current Driver’s license

  • Must be able to file materials   

  • Must be vaccinated against COVID-19

  • Must be comfortable working in an open office environment; cubicle free
